HOA AND COMMUNITY ASSOCIATION MARKETING
HOA Marketing and Communication That Residents Actually Read
Residents want answers without calling a board member at home. Buyers want to know what living in your community is like. We build the website, the search presence and the newsletters that serve both.

Good HOA communication sounds simple. A resident finds the pool hours, the architectural form or the next meeting date in under a minute, and nobody’s phone rings on a Sunday night. Good HOA marketing goes one step further. When a buyer searches your community’s name, they like what they see.
Vertical Web has built and managed websites since 1998 with every service in-house, from HOA website design to the newsletters, search work and reputation care that keep a community’s name in good shape.
THE OUTCOME
What should an HOA website and communication plan actually do?
It should cut the number of questions that land on volunteers. Board members are neighbors with day jobs. Every trash day email they answer by hand is time taken from the budget.
It should keep residents informed before they hear it secondhand. A dues change lands better when residents read it from the association first, with the reason behind it.
And it should help the community’s reputation. Home values depend partly on what buyers and their agents find when they search your neighborhood. That part is marketing, and most associations ignore it.
RESIDENT SELF-SERVICE
How do residents get answers without calling the board?
Give every common question its own clear answer, on a page a phone can read. The list rarely changes:
- Trash, recycling and heavy pickup days
- Pool, clubhouse and park hours and rules
- How to submit an architectural or modification request
- How to pay dues, and who to call about a balance
- Board members, the management company and how to reach each one
- Meeting dates, agendas and minutes
Put the questions themselves on the page, with short answers. People ask Google and AI engines full questions now, like “what day is trash pickup in my subdivision.” A page with that exact question and a clear answer is the one that gets shown. Our AI search optimization work adds the FAQ schema that helps Google and ChatGPT read it correctly.

A secure login for directories, financials and private notices, with public documents kept easy for buyers to find.

Reputation Care
Calm public responses to reviews and posts, and a plan to put the community’s own pages first in search.
Management Company SEO
Service pages, area pages and reviews that put your management company in front of boards ready to hire.
DOCUMENTS AND PRIVACY
Which HOA documents should be public, and which belong behind a login?
Split them on purpose. Buyers, agents and title companies need to find some documents fast. Residents expect other information to stay private.
Usually public: deed restrictions, architectural guidelines, amenity rules, the meeting calendar and contact paths for the board and the management company. Easy access shows buyers a well-run community.
Usually behind a login: the resident directory, financial statements, violation details, gate codes and anything with a name or address. A secure resident portal keeps that out of search results.
And do not bury key rules in a scanned PDF. Put the summary on a real page and attach the PDF.
NEWSLETTERS AND EMAIL
What makes an HOA newsletter worth opening?
Useful news first, rules second. If every email is a reminder about trash cans or a violation notice, residents stop opening them. Then the one that matters goes unread.
We build a monthly email newsletter around events, amenity updates, projects and a short board note. Each item links to a page on the site, so the newsletter stays short.
A separate urgent list handles storms and outages. Keep it for real emergencies.
COMMUNITY REPUTATION
What do buyers see when they search your community's name?
Search your neighborhood’s name. You might find an abandoned website, a page of complaints or an old neighborhood fight. Buyers see the same thing.
We build pages that tell the real story: schools, parks, trails, events and why it is a good place to live. It is the same structure Beth teaches for real estate sites. Each neighborhood or village gets its own page, linked back to a main hub, with its own questions and answers. Done well, a community page can show up for searches like “homes in” plus your subdivision name.
Amenities and events deserve their own pages too, since each answers a different search. Give each one hours, rules and real photos you took yourself. Stock photos of a generic pool tell a buyer nothing. Update one fall festival page every year so it builds history in Google. A clubhouse with a public address can also have a Google Business Profile, which is basic local SEO.
When negative reviews or posts appear, our reputation management team helps the board respond calmly, for the next reader rather than the angry one. Our real estate marketing page covers the buyer side.
FOR MANAGEMENT COMPANIES
How does an HOA management company market itself to boards?
Write for the board member who is shopping, not the student looking up a definition. When Beth researched keywords for a management company, the first AI list was full of informational topics like “what is a reserve study.” Board members hiring type things like “HOA management company near me” or “switching HOA management companies.” Be specific in what you ask for, and build pages around how a buyer searches.
Then say what makes you different. Many communities feel stuck with large firms that send a letter for every trash can left out on pickup day, and pass the cost back to homeowners. If your company does it another way, say so. Explain how you handle violations and keep dues flat. Do not name competitors. Name the problem.
Our SEO services team builds those service pages, area pages and the reviews that win board trust.
WHY VERTICAL WEB
Why should your board or management company choose Vertical Web?
- One team for everything. Hosting, website, resident portal, newsletter, search and reputation work all live in-house. When a board changes every year or two, the website does not fall apart with the handoff.
- The people other marketers learn from. Beth Guide has taught SEO since 2003 for the SBA, the University of Houston SBDC, Lone Star College and HCC, and appears as a technology expert on Fox 26.
- Staying power. In business since 1998, and the original 1998 client is still with us. Certified Google Partner, 4.9 Google rating and First Place triple honors in Best of West Houston 2025.
- Candor. We manage more than $1M a year in PPC, so we know when ads pay off. For most associations they do not, and we will tell you so.

COST
How much does HOA marketing cost?
It depends on scope: how many villages or sections, whether you need a portal, how many documents become pages, and whether we write the newsletter or set it up for volunteers.
We start with a free website analysis and then give you a written scope your board can review and vote on.
Questions
HOA marketing: common questions
HOA communication serves the people who already live in the community: notices, documents, newsletters and answers. HOA marketing looks outward, at buyers, agents and anyone searching the community’s name. A good website does both.
Both. Keep rules, deed restrictions, amenity information and the meeting calendar public so residents and buyers can find them. Put the directory, financials, violation details and gate codes behind a secure resident login.
Monthly works for most communities, with urgent alerts sent only when something real happens. Lead with useful news and events, and keep rule reminders short. If every email is a warning, residents stop opening them.
It can help how buyers see the community. Clear pages about schools, amenities, events and how the association is run make a better first impression than an outdated site or a page of complaints. We do not promise values, but we can make sure your community’s own story shows up.
Yes. We build pages around how board members search when they want to hire or switch companies, show what you do differently and build the reviews that earn trust. We write the pages ourselves, not with copy-and-paste AI text.
Request a free website analysis. We look at your current site, what shows up when someone searches your community and how residents get information today, and then put a scope in writing for your board.
