Email Calendar
What emails should a campaign send from launch to Election Day?
A campaign email program is a sequence, not a string of one-off blasts. Each message has a job, and the jobs change as the race moves from announcement to filing, early voting and Election Day.
We map the whole sequence at the start. That way your supporters hear a steady, familiar voice instead of silence followed by a flood of asks in the final weeks.
Launch and Introduction
Your first emails tell supporters who the candidate is and why they are running. A short personal story does more here than a long list of credentials.
Endorsement Announcements
When a respected local leader or group backs your campaign, email lets you share their words in full. Each endorsement is a reason to write, and a reason for supporters to forward it.
Issue Explainers
Email has room for details a text cannot hold. One issue per message, written plainly, gives supporters something they can repeat to a neighbor.
Fundraising Deadlines
Reporting deadlines give a fundraising ask an honest reason to act now. We write the ask, the reminder and the thank-you as one set.
Volunteer Asks
Block walks, phone banks and poll greeter shifts all need people. Clear dates, places and a single sign-up link make it easy to say yes.
Early Vote, Election Day and Thank-You
Reminders carry dates, hours and a link to polling locations. After the polls close, a sincere thank-you keeps your list warm for the next race.
Writing
How do you write campaign emails people actually open?
Supporters get a lot of email. The messages they open come from a name they recognize, promise something specific and get to the point fast. We write to that standard on every send.
Subject lines that tell the truth
A good subject line is specific and honest. It says what is inside, in words the candidate would use. Fake urgency and trick subject lines might get an open once, then teach your list to ignore you. We try a few honest versions and keep the ones that earn replies and clicks.
One ask per email
Every email should ask the reader to do one thing: give, sign up, share or vote. When a message asks for five things, readers often do none of them. We place the ask near the top and repeat it once at the end.
Built for the phone first
Many supporters will read your email on a phone, standing in line or between meetings. We use short paragraphs, large buttons and images that still make sense if they do not load. Every email gets a mobile check before it goes out.
The candidate's own voice
Supporters want to hear from the person on the ballot, not a committee. We talk with the candidate, learn how they speak and draft emails they would be proud to sign. Spanish-language versions are available, and nothing goes out until the candidate or campaign manager approves it.
List Building
How can a campaign grow its own email list?
A list of people who chose to hear from you is worth more than any list you can rent. Supporters who sign up expect your emails, open them and act on them. Building that list should start the day you announce.
Your campaign website is the main source. Vertical Web builds campaign sites, so we design the sign-up, volunteer and donate forms ourselves and connect them straight to your email platform. There is no hand-off between a web vendor and an email vendor. Our web design team builds each form to load fast and work well on a phone.
Events are the second source. We set up a simple sign-in page for block walks, town halls and meet-and-greets, so a handshake can turn into a subscriber before the voter walks away.
Reaching voters on the file who never signed up is a different job with different rules. Our bulk email for campaigns service handles large voter-file sends, and our voter data and email append page explains how those addresses are matched.
Where new subscribers come from
- Website sign-up and volunteer forms
- Donation pages with an email opt-in
- Event sign-in pages and QR codes
- Petition and survey pages
- Text replies that ask for an email address
Why Vertical Web
Why hand your campaign email to Vertical Web?
Your email list is one of the few campaign assets you fully own. The team writing to it should protect it, know the craft and tell you when an idea will cost more than it returns.
Writers Who Teach the Craft
Beth Guide teaches digital marketing at Lone Star College and HCC and for the SBA and the University of Houston SBDC. She has taught SEO since 2003. She also appears on Fox 26 as a technology expert. Your emails come from the people other marketers learn from.
Forms, Site and Email Together
The same in-house team builds your campaign website, the sign-up forms and the emails they feed. When a form stops passing names along, one team finds the problem and fixes it.
A Firm That Stays
Vertical Web has been building and marketing websites since 1998. The client who signed on in our first year is still a client. We are a Certified Google Partner, hold a 4.9 Google rating and took First Place triple honors in Best of West Houston 2025.
Honest About Returns
Managing more than $1M a year in PPC teaches you what it really costs to reach a donor or volunteer. If a bigger email push will not move your race, we will tell you and point the budget somewhere better.
Segments
Should donors, supporters and persuadable voters get the same emails?
No. Each group is at a different point with your campaign, so each needs a different message. Sending the same email to everyone makes it too pushy for some readers and too soft for others.
Supporters
Supporters already agree with you. They want inside news, volunteer chances and a clear plan to vote. Ask them to act, and thank them often.
Donors
Donors want to know their money mattered. Tell them what the last contribution paid for before you ask for the next one. First-time givers get their own thank-you track, so they feel welcomed before anyone asks again.
Persuadable voters
Voters who have not decided need to learn who your candidate is. Lead with biography, local roots and one or two issues. Save hard fundraising asks for people who already support you. Many campaigns follow these emails with a short note through political text messaging.
Party and language segments
Primary voting history and language preference can shape segments too. In Texas, party lists come from primary voting history, since the state has no party registration. Party-specific planning is covered on the pages for Republican campaign outreach and Democratic campaign outreach.
Results
How should a campaign measure email success?
Opens are easy to count and easy to misread. A campaign email works when a reader does something: gives, signs up, replies or votes. We report on those actions first.
Donations show which asks and which stories move money. Where your donation platform allows it, we tie each contribution back to the email that produced it, so you know what to send again.
Volunteer sign-ups and replies show real engagement. A reply from a supporter is a conversation your candidate or staff can continue.
Unsubscribes are a warning light. A spike after a certain kind of email tells us to change the tone, the frequency or the audience before the list wears out. Every unsubscribe is honored and logged, and our email and SMS compliance page explains the record keeping.
Your emails need somewhere good to send people. Our content marketing team writes the issue pages and news posts your emails link to.
What we report
- Donations traced to each email
- Volunteer and event sign-ups
- Replies worth a personal answer
- Clicks on the main ask
- Unsubscribes and complaints

Political Email Marketing: Frequently Asked Questions
It depends on the phase of the race and how engaged your list is. Early on, a steady rhythm of useful updates builds trust. Frequency usually rises near reporting deadlines, early voting and Election Day. The warning sign is a jump in unsubscribes or complaints. We plan the calendar with you and adjust the pace based on how your supporters respond.
We do the writing, and your campaign keeps final approval. We start by talking with the candidate and the campaign manager about voice, priorities and the words the candidate uses. Then we draft each email, send it for review and make changes. If your team prefers to write some messages, we can edit, format and schedule them instead.
Yes, but it is a different job. Sending to voter-file addresses means cold contacts, higher volume and more risk to your domain, so it runs through our bulk email service with its own setup and list cleaning. Your supporter list and a voter-file list should be kept separate, because the people on them expect very different things from you.
A real reason to give, a plain explanation of what the money will do, and one obvious button. Reporting deadlines give an honest reason to act. A short, personal note from the candidate usually lands better than alarm and exaggeration. We also write the thank-you ahead of time, so every donor hears back quickly and warmly.
CAN-SPAM is written for email whose main purpose is selling something, so a purely political message generally falls outside it. Gmail and other inboxes do not make that distinction when they filter. That is why every campaign email we write follows CAN-SPAM habits anyway: accurate sender details, honest subject lines, a valid postal address and a clear way to opt out. Treat this as general information and ask your treasurer or attorney for a ruling on your committee.
Usually, yes. If your site runs on WordPress, we can add or rebuild the sign-up, volunteer and donate forms and connect them to your email platform. If the site is slow or hard to update, we may recommend a rebuild, since Vertical Web designs and hosts websites. Either way, we test every form on a phone before it goes live.
Cost depends on how many emails you need, how much writing and design each one takes, whether we build or fix your sign-up forms, and how long the program runs. A single launch announcement and a full program through Election Day are very different projects. We do not publish prices. Schedule a Consultation and we will scope it with you.
