Why do political bulk emails end up in spam?

Inbox providers decide where your email lands before anyone reads it. They check who sent it, whether the sender can prove its identity, how recipients have treated that sender before, and whether the list looks healthy.

Political mail often fails those checks for predictable reasons. A campaign registers a brand-new domain and sends a huge volume on the first day. The list is full of old addresses that bounce. The mail goes out without authentication. Recipients who never expected the email mark it as spam.

Each of those problems can be fixed before you press send, and that is the work this service covers. Writing the message itself is a separate job, handled by our political email marketing team. How do you set up a campaign domain for bulk email?

We build the sending side before the first message goes out. These steps protect your main campaign domain and give each send its best chance at the inbox.

1. Create a dedicated sending subdomain

Bulk mail goes out from a subdomain of your campaign domain, not the address your staff uses every day. If a large send draws complaints, your staff inbox keeps some distance from the fallout.

2. Authenticate with SPF, DKIM and DMARC

These DNS records prove your mail really comes from your campaign. Gmail, Yahoo and Microsoft Outlook require them from bulk senders, and we set them up and test them before any volume goes out.

3. Warm up the volume

A new sender that jumps straight to a full voter list looks like a spammer. We start with your most engaged contacts and raise volume in stages as inbox providers accept the mail.

4. Throttle each send

Large sends go out in paced batches instead of all at once. That keeps traffic steady and gives us room to stop if something looks wrong.

5. Watch bounces and complaints

We monitor bounces, blocks and spam complaints during and after every send. When complaints rise, we pause, find the cause and fix it before the next round.

Remove bounces and dead addresses

Addresses that bounce tell inbox providers you do not know your list. We check addresses before the send and remove hard bounces right after it, so they are never mailed again.

Pull out role accounts

Addresses like info@ or office@ go to shared inboxes, not to a single voter. They rarely belong on a voter list and tend to draw complaints, so we filter them out.

What do Gmail, Yahoo and Outlook require from bulk senders?

The largest inbox providers set their own rules for anyone who sends high volumes of mail. Those rules apply to campaigns the same way they apply to retailers, and we follow them on every send.

Purely political messages are generally outside the commercial scope of CAN-SPAM. Inbox providers still judge your mail the same way, so we follow CAN-SPAM practices too. This is not legal advice, so confirm with your treasurer or legal counsel how it applies to your committee.

Authentication

SPF, DKIM and DMARC records must be in place and aligned with the sending domain. We set them up, test them and keep them current as your program grows.

One-Click Unsubscribe

Gmail, Yahoo and Outlook expect bulk senders to make unsubscribing easy, including one-click unsubscribe. We add it to every send and honor each request across your whole program.

More addresses mean more sending volume, a longer warm-up and more monitoring. A countywide list and a single-precinct list are very different projects.

Appending

If you start from a voter file without email addresses, appending adds a data step before any mail goes out. How many addresses match depends on the list you start with.

Design and production

A plain, letter-style email takes less time to produce than a designed template with photos and video. Many campaigns use both, depending on the message.

Frequency

One send before Election Day is a smaller project than a weekly program through early voting. The setup work is done once and then reused, so a longer program spreads that effort across more sends.

When is bulk email the wrong tool for a campaign?

Bulk email is good at putting a longer message in front of many voters at once. It is not the answer to every problem, and we will say so when another channel fits better.

When the message is urgent

A reminder that must be seen today, or a notice that a polling place has moved, needs to be read fast. A short text through our political text messaging service is usually the better fit.

When your voters are older and on landlines

Some precincts have many voters who rarely check email but still answer a home phone. Political robocalls or a recorded voicemail may reach them better.

When the list is too thin or too old

If a list has not been cleaned in a long time, a big send can do lasting damage to your domain. Sometimes the right move is a smaller send to engaged supporters while we rebuild the list from better sources.

Is it legal to send bulk email to voters in Texas?

Generally, yes. Purely political email is usually outside CAN-SPAM’s commercial scope, though we follow its practices anyway. Texas law limits how voter registration data from the registrar can be used: using it to advertise commercial products or services is a crime, so voter lists are for political use only. None of this is legal advice; your committee’s treasurer or attorney should sign off on the details.

Why not just send from our regular campaign email address?

Your everyday campaign address carries staff email, press replies and donor conversations. If a large voter-file send draws complaints, you do not want that mail landing in spam too. A dedicated sending subdomain gives bulk mail its own identity under your campaign’s name. It also lets us authenticate and monitor bulk traffic without touching the inboxes your team relies on.

What are SPF, DKIM and DMARC?

They are DNS records that prove your email really comes from your campaign. SPF lists the servers allowed to send for your domain. DKIM adds a digital signature to each message. DMARC tells inbox providers what to do when a message fails those checks. Gmail, Yahoo and Microsoft Outlook require bulk senders to have them, and we set up all three.

How long does it take to warm up a new sending domain?

It depends on your list size, how engaged the first recipients are and how inbox providers respond to the early sends. We cannot promise a fixed schedule, which is why we recommend starting well before early voting. Warm-up begins with your most engaged supporters and grows in stages. Rushing it is a reliable way to end up in spam.

Can you send to a list we bought or were given?

Sometimes. We first ask where the addresses came from and how old they are. Then we check them, remove bad records and suppress anyone who opted out. If the list is risky, we mail it slowly and separately from your supporter list, or recommend against using it. Protecting your sending domain matters more than any single send.

What happens if our emails start going to spam in the middle of a campaign?

We pause large sends and look for the cause: a spike in complaints, a batch of bad addresses, a broken authentication record or a message that drew an unusual reaction. Then we fix the problem, clean the list and rebuild volume carefully with engaged contacts. Monitoring every send is how we catch trouble early, before it spreads across your whole list.
